Claims

What has gone to a payer, what they said about it, and what they still owe.

01

What you can do here

Nothing here sends a claim

There is no connection to any payer. You record the reference the payer gave you, and you record their answer when it arrives. A button that only writes a row is never labelled as though it sent something.

One invoice, one claim

A claim is raised from an invoice billed to a payer, and that invoice can only have one. Chasing a partly paid claim is sending the same one again, so there is one answer to how much the payer has paid.

A claim is for the payer's share

Not the whole invoice. The patient's share is the patient's, and claiming it would be asking a payer for money nobody says they owe.

The answer and the money land together

Recording a payment puts it on the patient's account against that invoice in the same moment. There is no gap in which a payer has paid and the patient still shows as owing it.

A refusal is an answer, not a different kind of document

Paid, part paid and refused are all recorded the same way, so what the payer said is one list rather than two.

A payment advice cannot be recorded twice

What the claim still expects has a floor. Recording more than that is refused, so a duplicated advice cannot credit an account twice.

Follow these steps

Raise a claim

  1. Raise a payer invoice on the patient's account first.
  2. A claim is prepared from that invoice, for the payer's share of it.

Record that it has gone

  1. Open the claim and select Record that it has gone.
  2. Enter the reference the payer gave you.

Record the answer

  1. Open the claim and select Record the answer.
  2. Say whether it was paid, part paid or refused.
  3. A refusal needs the payer's code and their reason. For a part payment you can record their adjustment code and why they paid less, which is what you chase the rest with.
03

Helpful habits

  • Record the payer's own reference. It is the only one they will honour when you chase it.
  • Record a refusal in the payer's words. A summary of it is not what you argue from later.
  • Send a part paid claim again rather than raising a second one, so the total paid stays in one place.

Tips

  • A claim paid in full leaves the worklist.
  • A claim with money against it cannot be withdrawn. Take the money off the invoice first.
  • A claim carries up to 90 lines.
