At-a-glance counts
A summary strip shows how many requests are waiting, booked visits, unassigned appointments, and visits currently in progress, so the day's load is clear before you scan the list.
The clinic schedule and requests queue. Search and filter appointments, open details, prepare with the patient, check patients in, and book a new visit with the doctor already assigned.
A summary strip shows how many requests are waiting, booked visits, unassigned appointments, and visits currently in progress, so the day's load is clear before you scan the list.
Use schedule or request mode, then filter by status, date, provider, patient, contact, visit type, source, or search term.
The day view gives each doctor their own column, including doctors with nothing booked, so gaps are as visible as busy hours. Choose all doctors or just the ones you are working with, and each doctor keeps the same colour across the board.
A doctor's schedule opens on My patients: the visits they are assigned to and the requests nobody has been assigned to yet. Switch to Whole clinic to see everybody's schedule.
Choose Reschedule on a booked appointment to pick a doctor and a new open time from one sheet, which works with a keyboard and on a touch screen. Keeping the same time with another doctor moves the visit to them and asks why, and both doctors are told. On the board you can also drag a booked appointment to a new time, or onto another doctor's column; moving to another doctor asks for a reason, and the new time is checked against the clinic's open times before anything changes. If somebody else changed the visit first, the screen reloads it and says so, so you never overwrite their change. Overlapping visits are flagged so a double booking cannot hide behind another block.
Click an open time in a doctor's column to start a booking with that time and doctor already chosen. You pick the patient and, when the clinic offers more than one, the kind of visit. The form says so, and says plainly if that time was taken in the meantime.
Open an appointment to review facts, records, requested information, comments, and device readiness even after cancellation or completion.
Accept a request by choosing its doctor and time in one sheet; a request that already names a time and doctor is accepted in one press. Check a patient in at the front desk, and record a no-show once the visit's time has passed. If a visit cannot be checked in yet, the appointment says why before anybody tries, for example when the patient's portal account is not linked or no doctor is assigned. Once a patient is checked in, no-show, cancellation, documentation, clinical completion, and closure follow the visit's clinical workflow rather than a status button.
Book on a patient's behalf. Find the patient by name or mobile number, or register a new patient without leaving the form. Choose the doctor, or Any available doctor, then an open time; the doctor you book with is the visit's assigned doctor straight away, with no separate assignment step. If the patient's record is missing their name or a mobile number or email address, the form says exactly what is missing and lets you add it there. When the patient already has a linked portal account, the visit is linked to it automatically. The saved booking owns its exact communication policy; the screen never chooses a message policy separately.
Authorized schedulers can review active entries and issued offers, open the patient's CRM record, verify the complete bounded fair queue, select only a currently eligible signed time, and issue or revoke an expiring offer with exact retry. The Visit Type policy, not this screen, owns the response window. Cancelled or rescheduled slots can offer automatically across compatible fair heads. New offers queue an in-app update, but intent creation still does not prove delivery or read.
Doctors and staff can add comments, ask follow-up questions, request information, and suggest lab reports before the session starts.
For a video appointment, Appointment details shows the visit room. The assigned doctor opens the room, then the doctor and the patient join it from their own devices. The clinic's service decides when a visit can be joined, so the button appears only once the room is genuinely ready for you.
