01

Book a visit

Choose the clinic, visit type, and time that match your needs. Each open time belongs to one of the clinic's doctors, and that doctor is assigned to your visit when it is booked.

1

Find care

Search available clinics and visit options, then open the one that fits your needs.

Open Find Care
2

Choose an available time

Review the visit details before selecting a time. A time is confirmed only after the booking completes. If somebody takes it first, the booking says so and shows the times still open.

3

Review the confirmation

After booking, Appointments opens where the visit landed and says what happened. Check the clinic, doctor, visit type, date, time, and preparation instructions.

02

Book for a patient at the front desk

Clinic staff book, accept, move, and check in visits from Appointments. The doctor a visit is booked with is its assigned doctor from that moment, so there is no separate assignment step.

1

Find or register the patient

Select New appointment and search by name or mobile number. If the patient is new, register them without leaving the form.

Open clinic Appointments
2

Choose the doctor and time

Choose the doctor the patient asked for, or Any available doctor to see everybody's times with whose each time is. Clicking an open time in a doctor's column on the schedule starts the booking with that doctor and time already chosen.

3

Add anything the booking still needs

A booking needs the patient's name and a mobile number or email address. If the record is missing one, the form says which and lets you add it there, then books.

4

Accept requests and move visits

Accept a request by choosing its doctor and time in one sheet; a request that already names both is accepted in one press. Move a booked visit to another time or doctor with Reschedule, which works with a keyboard and on a touch screen, or by dragging it on the board. Keeping the time with another doctor asks for the reason, and both doctors are told. If the visit changed somewhere else first, the screen shows the latest version and asks you to check it.

5

Check the patient in

When the patient arrives for an in-person visit, select Check in. If a visit cannot be checked in yet, the appointment says why before you try: for example, the patient's portal account is not linked to the visit yet, or no doctor is assigned. The assigned doctor gets a notification that the patient has arrived.

03

Run a doctor's day

A doctor's schedule starts on their own patients, and everything a visit needs from them is on the appointment.

1

Start from My patients

Appointments opens on the visits assigned to you and the requests nobody has taken yet. Switch to Whole clinic to see every doctor.

Open clinic Appointments
2

Take a request

Accept a request nobody is named for, or one that names you, and choose its time. A request that names another doctor is theirs.

3

Start the consultation

When your patient has been checked in, open the appointment and select Start consultation. One press takes the visit from arrived to in consultation, and the clinical note and the rest of the visit's workflow open from there.

04

Prepare for the visit

Appointment Details keeps preparation and care information together.

1

Open Appointment Details

Select an appointment to review its current status and available preparation steps.

Open Appointments
2

Complete requested information

Add requested documents, answer intake questions, review safety information, and make consent choices when shown.

3

Check technical readiness

For a virtual visit, test the device and connection early enough to resolve problems.

05

Respond to changes

Use the action that matches what the patient wants to do.

1

Reschedule

Choose a new available time and review the updated appointment before confirming.

2

Cancel

Review the cancellation information before confirming. Cancellation does not delete the appointment history.

3

Answer a waitlist offer

Accept before the offer expires to take the held time, or decline so the clinic can offer it to someone else.

Self-help

Common questions

Why did an available time disappear?

Availability can change while you are booking. The booking says when a time was just taken and shows the times still open; choose another one.

Why can’t this visit be checked in?

The appointment says why. A visit needs an assigned doctor, and an in-person check-in also needs the patient's portal account linked to the visit. If the patient already had a linked account when the visit was booked, it is linked automatically. A visit booked before the account was linked keeps no link, so once the account is linked, cancel that visit and book it again.

Do I need to verify a patient before booking?

No. A booking needs the patient's name and a mobile number or email address, and the form asks for whichever is missing. Verifying a mobile number or email address is separate and never blocks a booking.

Why can’t I join a virtual visit yet?

The appointment may not be ready, the join window may not be open, or a required preparation step may still need attention. Follow the message shown in Appointment Details.

Does joining a waitlist guarantee an appointment?

No. The waitlist records your interest. A booking is created only after you accept a valid offer or complete a normal booking.
