WhatsApp replies to file

Read the WhatsApp replies that could not be placed on one patient's chart, and file each one to the patient it is about, or set it aside when it is not about a patient.

01

What you can do here

Why a reply waits here

A WhatsApp chat is with a phone number, and a family often shares one. When a reply from a shared number does not answer a message about one person, and the clinic has recently written to that number about more than one member of the family, nothing says whose it is. Rather than guess, the reply is kept here, on no chart. A reply from a number nobody on file has waits here too: it may be a new patient, or a relative writing from their own phone.

Oldest first

The reply that has waited longest is at the top. Each one shows the last four digits of the number it came from, the clinic number it was sent to, when, the name the sender chose on WhatsApp (which is not proof of who they are), and why it could not be placed.

The patients at that number

For a shared number, the patients registered at it are listed under the reply and offered first when you file it. You can also search for anybody else.

Restricted charts

A reply that may be about a patient whose chart you cannot open is listed without its words, and you cannot file it or set it aside. Somebody who can open every chart at that number has to.

Photos and documents

A photo, voice note or document the sender attached opens with Open, when the file was kept. Files from WhatsApp are not checked for viruses.

Follow these steps

File a reply to a patient

  1. Read the reply and select File to a patient.
  2. Choose one of the patients registered at the number, or search for somebody else.
  3. Select File to, followed by the patient's name. The reply moves to their chart's WhatsApp messages, marked as filed by you, and later replies in the same chat are placed with it in mind.

Set a reply aside

  1. Select Not about a patient for a wrong number, a supplier or a personal message.
  2. Confirm. It stays off every chart and is deleted after 90 days.

Helpful habits

  • File a reply only when you are sure whose it is. If the words do not say, ask on the clinic phone before filing.
  • A reply about a child is usually from a parent: file it to the child it is about, not to whoever holds the phone.
  • Work the queue daily. A reply waiting here has not been read by anybody looking at a chart.
  • Set aside only what is not about any patient. A reply you are unsure about should stay here.

Tips

  • Somebody else may file a reply while you are reading it. If they do, it leaves your list and you are told.
  • Answering the sender is done from the shared inbox, where every WhatsApp chat is a conversation, or from the patient's chart once the reply is filed.
  • Everything done here is recorded against your name, without the words of the reply.
