Team

Invite colleagues into this clinic or hospital and manage who belongs. Owners and facility administrators can update active staff roles and ordinary workspace permissions from the Team tab, including their own. Clinical authority remains governed separately.

What you can do here

Invite by email

Send invitations to one or more colleagues with the roles they should hold. They accept with their own accounts and join this facility, so memberships always stay tied to the person, not a shared login.

Roles

Choose one or more roles for each invite: Doctor for clinicians who consult and join care rooms, Care coordinator for staff who run the pipeline and conversations, and Administrator for full access to configure the facility and invite others.

Share the link yourself

Every invitation produces a link you can copy and share directly. When a message could not be delivered, the invitation says so, explains the reason in plain language, and shows the link, so no one is blocked while the delivery problem is fixed.

Pending invitations

Track everyone who has been invited but has not joined yet, with their roles and expiry. Resend refreshes the link and re-sends the email; revoke cancels an invitation that is no longer needed.

Practise at this facility

Owners and facility administrators who also see patients can add themselves as a doctor here. The card shows whether you are already registered, so the role is never added twice. You keep every administrative role, permission, and access you already had.

Team members

See active staff, their complete role set, and whether they use role defaults or custom workspace permissions. Your own row is marked You. Edit access takes effect immediately, in every tab the person has open.

Editing your own access

You can narrow your own workspace permissions or drop a role you no longer need without waiting for a colleague. You cannot give yourself an administrative role you do not already hold, and you cannot revoke your own membership. If a change would leave you unable to administer the team, the dialog explains it and asks you to confirm, because only someone else could give it back.

Roles and custom permissions

Owners can edit owners, administrators, and ordinary staff. Facility administrators can edit ordinary staff only. View and Manage permissions cover non-clinical product areas; Manage always includes View. Use role defaults to return to the standard policy.

Protected clinical authority

Workspace permissions cannot grant prescribing, signing, result release, patient self-access, or assigned-clinician authority. Those checks continue to use roles, relationships, assignment, and exact clinical evidence.

Patient portal access

Review patient memberships and link each one to the correct verified CRM Contact. The impact preview shows how many Contact-owned documents become discoverable before you confirm.

Follow these steps

Invite colleagues

  1. Enter or paste one or more email addresses and pick one or more roles.
  2. Keep or customize the personal note they will see, then send the invitations.
  3. Copy any invitation link to share it directly if you prefer, or if a message could not be delivered.
  4. Read the note under a recipient whose message was not delivered: it names the reason so it can be passed on and fixed.

Manage an invitation

  1. Use Resend to issue a fresh link and email if the first was missed.
  2. Use Revoke to cancel an invitation before it is accepted.
  3. The list refreshes after each action so its status stays current.

Add yourself as a doctor

  1. Open Practise at this facility. The badge tells you whether you are already registered as a doctor here.
  2. Choose Add me as a doctor. Your administrative roles and permissions stay exactly as they were, and the Doctor role appears beside them in Team members.
  3. Publish availability and add your verified provider credentials in Clinical settings before you can be booked; registration alone does not grant clinical authority.
  4. Use Remove my doctor role to step back out. Reassign your availability windows and open appointments first, or the removal is refused and tells you how many are still assigned to you.

Edit a member's access

  1. Choose Edit access on an active staff member. Protected hierarchy choices explain why an option is unavailable.
  2. Select one or more staff roles, then keep role defaults or choose Customize to set View and Manage by product area.
  3. Review the clinical-authority notice and save explicitly. If another administrator saved first, review the newly loaded revision before trying again.

Edit your own access

  1. Choose Edit my access on your own row, marked You.
  2. Adjust your workspace permissions, or clear a role you no longer need. Administrative roles you do not already hold stay unavailable, so no one can promote themselves.
  3. If the result would remove your own Team administration, read the notice and tick the confirmation. Another owner or administrator would have to restore it for you.
  4. Save. The workspace re-renders with your new access straight away, in every tab you have open.

Revoke team access

  1. Use Revoke access on a current team member when they should no longer access this clinic.
  2. Confirm the action. It only suspends their membership in the selected clinic or hospital.
  3. The person's Global Clinic account, My Space, and other clinic memberships stay active.

Helpful habits

  • Grant the smallest set of roles and workspace permissions that lets someone do their job, especially for anything touching patient data.
  • Reserve the Administrator role for people who genuinely need to configure the facility and invite others.
  • Use role defaults unless a member has a clear, reviewed need for a narrower custom workspace policy.
  • Revoke invitations that were sent in error rather than leaving them open.
  • Keep at least two people with Team administration, so nobody is ever locked out by their own edit.

Tips

  • Invitations are scoped to the clinic selected in the top-bar switcher; switch clinics to manage a different one.
  • An invitee joins with their own account, so ask them to use the email you addressed the invitation to.
  • This page is separate from Team chat: this is where you add and manage people, Team chat is where staff message each other.
