WhatsApp

Connect the phone numbers your clinic messages from, and choose which messages go out on each one.

01

What you can do here

It is the same as WhatsApp on a computer

You scan a code with the phone that owns the number, exactly as you would to use WhatsApp in a browser. The clinic keeps the phone. Nothing is transferred and no new number is bought.

One number, or several

A clinic can connect as many numbers as it has phones. Give each one a name your team recognises, such as Front desk or Pharmacy, and point different messages at different numbers.

Clinical detail never goes out on WhatsApp

Messages about results, prescriptions and visit summaries only say that something is ready and link to the portal. The detail stays behind the patient's login. This is not a setting, it is how the messages are written.

A patient who replies STOP is never messaged again

That applies across the whole workspace, on every number, whatever the rest of their record says.

Follow these steps

Connect a number

  1. Choose Connect a number and give it a name staff will recognise.
  2. On the phone that owns the number, open WhatsApp, then Settings, then Linked devices.
  3. Tap Link a device and point the camera at the code on screen.
  4. The code changes every forty-five seconds. A new one appears on its own.

Choose which messages go out

  1. Open a group such as Appointments to see the messages in it.
  2. Turn on the ones you want and choose which number sends each.
  3. The header of each group shows how many are on without opening it.

When something needs attention

  1. A banner at the top names anything that is not working.
  2. A number that is offline is not lost. Messages wait and go out when it reconnects.
  3. Needs reconnecting means WhatsApp unlinked the phone. Scan a new code.

Helpful habits

  • Use a phone the clinic keeps and charges. If it is switched off for a week, a week of messages waits.
  • Name numbers after what they do, not who owns them. Staff change, the front desk does not.
  • Turn on a few messages first and listen to what patients say before turning on the rest.
04

Tips

  • Removing a number switches off every message set to send from it, so nothing sends silently to nowhere.
  • Messages marked Notice and link only will never carry a result or a diagnosis.
  • The same number cannot be connected twice in one workspace.
