Staff roster

See and publish who is expected on which shift, by unit and period.

01

What you can do here

A roster grants nobody access to anything

It records who is expected where. What somebody can actually do is still their membership, their permissions and their facility scope, checked on every request as it always was.

A label on a shift is a label

Charge nurse, runner, on call: these are what the unit calls the job that night. Nothing reads them to decide what anybody may do.

A published rota cannot be edited

A change is a new version, and the old one is kept exactly as it was. Who was on at the time is what an incident review asks three months later, and a rota edited after the fact cannot answer it.

A correction replaces the old one in one step

The new version publishing and the old one being retired happen together, so a unit is never left with two rotas for one period and no way to tell which people worked to.

This is not a workforce system

It does not track leave or absence, count hours, check working-time limits, or feed payroll.

Follow these steps

See where you are expected

  1. Your own shifts are at the top of the screen.
  2. Anybody who can see this page can see their own shifts.

Publish a rota

  1. Choose the unit. The screen opens on the one you chose last time on this device, or on the only one there is. Somebody else signing in on the same computer does not get your choice.
  2. Select Publish a rota and name the period.
  3. Add a row for each shift: choose who from the team by name, what they are down as, and when it starts and ends. Every row you start has to be finished before the rota can be published, so nothing is left out without you knowing.
  4. Select Publish. It cannot be edited afterwards.

Correct a published rota

  1. Publish a new one for the same unit while the old one is live.
  2. It becomes the current version and the old one is marked replaced and kept.
03

Helpful habits

  • Publish once the rota is settled. Corrections are versions, and a long chain of them is hard to read back.
  • Say what somebody is down as on the shift. It helps the unit and it grants nothing.
  • Do not use the roster to decide who may do something. Change the membership instead.
  • Publish per unit and per period rather than one rota for everything, so a correction is small.
04

Tips

  • A rota carries at most 60 shifts, because it is published in one step. Split a longer period into two.
  • Only owners and administrators publish. Everybody who can see the page can see their own shifts.
  • Replaced rotas stay visible, which is the point of them.
